FIH Development and Coaching Committee

'COURSE ORGANISATION'

 

CHECK LIST: FIH Course Director

  • Highest Authority from FIH at the Event and should insist on the full realization of the program.

  • Responsible for all administrative aspects of the program.

  • Main interface between FIH head office and the Host NHA.

Preparation Phase:

1.

Confirm Appointment with Chairman FIH DCC by returning appointment sheet

 

2.

Acquire Course Details from DCC (Head/conductors name, presentation topics etc.)

 

3.

Review FIH Guidelines on Course Organization and Coaches Accreditation Process

 

4.

Review documents 'Role of Course Director' & 'Role of Head Conductor'

 

5.

Review and understand the Assessment criterion and procedures.

 

6.

Review the list of course documents and information Materials from FIH office

 

7.

Contact Head Course Conductors and get the course program (timetable )

 

8.

Discuss course program with FIH Coaching Manager from Event Management point of view.

 

9.

Contact Host NHA and coordinate the program with Local Coordinator.

 

10.

Demand the required item lists (equipment's, tools, training aids etc.) for the course from the Head course Conductor.

Course director must have this list at least 40 days prior to the start of the course.

 

11.

Send the 'Services/facilities/tools' requirement list to Host NHA/local coordinator (at least 30 days in advance).

 

12.

Demand the local transportation requirements from the Head Conductor and inform the local coordinator

 


Participants information and Materials from FIH office:

Collect all the information related to participants registration and payments

  1. Participants list

  2. Participant vs. Payment of Participation fee

  3. FIH bank account information (for transferring the money collected through on-site registration)

  4. FIH Finance department advice/instruction about transfer of money
 
 

Send request to Ms. Catherine Tummers to arrange souvenirs for Conductors etc.

 
 

Arrange Course evaluation sheets.

 
 

Ensure that FIH’s participation certificates for the course participants, reaches the course venue on time.

 

Note: Please review the list of documents and information materials which can be obtained from FIH DCC through FIH office.

 


After arrival at Host Country /City:

Note: Must arrive at least one day before the start of the Course.

Meet local officials and Local coordinator.

Meet Head Conductor and other course conductors

Discuss with Head course conductor

  1. Service/Facilities/Tools

  2. Time allocation for various activities

  3. Transportation

Inspect Venues, course facilities, training aids etc. with Head course conductor and local coordinator.

Conduct First Course staff Meeting

 

19

Registration and informal introduction during pre - course dinner

 

20

Collect fee from the participants (who could not send their fee for some reasons but have FIH permission for late payment)

 

21

Prepare and distribute 'in-house rules' sheet to the participants

 


Misc.:

22

Ensure proper Media coverage, promotions and Advertisements for the event.

 

23

Entertained participants individual requests/concerns like late checkout, extended stay etc. and assist them.

 

24

Verify the Entries in the participation certificates (name etc.).

 

25

Collect Participants Information Sheets and send them to FIH.

 

26

Make sure the availability entry passes / accreditation for the Participant and conductors for the Matches.

 

27

Issue press releases at:

  1. Final Announcement for organization of the course.
  2. Registration for the course
  3. Commencement of the course
  4. Conclusion of the course
  5. Result announcement

Opening / closing sessions, FIHDCC Course Opening & Closing protocols

 

29

If required, give speech at closing dinner

 

30

Distribution of Course Participation Certificates – at closing dinner

Present Souvenirs to course conductors, Host NHA etc. – at closing dinner

Arrange with local coordinator, the Group Photograph of participants, conductors and other officials involved in the program

 


During Course:

Should participate in the day evaluation meeting with conductors

Work with Head Conductor and Local Coordinator to resolve any unexpected situation (malfunctioning of equipment's etc.).

 

35

Distribute Course Evaluation forms and participants information sheets to Course participants and collect them back.

 

36

Must be present during all the sessions

 


Post Course Program Tasks:

37

Submit Course Director's report to the chairman FIHDCC and some photographs.

 

38

Advise Head Conductor to submit his technical report with assessment comments.
